Required Passenger Fields for Air Bookings
Overview
To comply with airline requirements and streamline the booking process, Softrip has created a new Default to allows administrators to specify which additional passenger fields are required when a reservation includes air. This ensures that Passenger Name Records (PNRs) can be created successfully, while keeping the process simple for land-only bookings.
Setup in the Defaults Menu
The setting is location in the Security → System Settings → Defaults menu
Default ID:AIRREQUIREDFIELD
Purpose: This setting allows administrators to specify which additional passenger fields (such as gender and birthdate) are required when a reservation includes air.
Value: Passenger Field to be required
Ex: gender, birthdate
How It Works:
For land-only bookings, only the standard required fields (typically First Name and Last Name) are enforced.
For bookings with air, the system combines the standard required fields with those specified in
AIRREQUIREDFIELDto determine what must be collected from each passenger.
Note:
This configuration is typically a one-time setup but can be adjusted as business needs change
Key Features
1. Dynamic Required Fields Based on Booking Type
Land-Only Reservations:
Only First Name and Last Name are required for each passenger.Reservations with Air:
First Name, Last Name, Date of Birth, and Gender (or other fields as configured) are required for each passenger.
2. Reservation Status Handling
New Reservations:
With Air: All configured fields (e.g., First Name, Last Name, Date of Birth, Gender) are required.
Without Air: Only First Name and Last Name are required.
Option Reservations (not yet confirmed):
With Air: Only First Name and Last Name are required at the option stage.
Without Air: Only First Name and Last Name are required.
Converting from Option to Active:
With Air: The system will require all configured fields before confirming the reservation.
Without Air: Only First Name and Last Name remain required.
3. User Experience
The passenger screen clearly indicates which fields are required based on the type of reservation.
Agents booking land-only trips are not burdened with unnecessary data entry.
For air bookings, the system ensures all necessary information is collected to avoid issues with airline reservations.
