Invite Guests
Overview
The Invite process in the Group Summary menu allows administrators to invite guests to join a group reservation.
Backoffice Set Up
The Group Invitation system utilizes 2 main default settings that control the behavior and content of the invitation emails. These defaults are stored in the Security → System Settings → Group Settings and can be configured by administrators to maintain consistency across all group invitations.
Default Configuration Settings
GROUPINVITEDEFAULTSUBJECT
Purpose: Controls the default subject line for group invitation emails
Usage: Automatically populates the email subject field when creating a new invitation
Example: "You're Invited to Join Our Group: [Group Name]"
Placeholders supported in the Subject field
[Group Name]- The name of the group[Booking Link]- Direct link to the booking page[Departure Date]- The departure date of the group[Event Date]- The event date (if specified)[Hotel Name]- The name of the hotel (if a hotel service is included)
GROUPINVITEDEFAULTBody
Purpose: Defines the default email body template for group invitations
Usage: Pre-fills the rich text editor with a standard invitation message
Features:
Supports HTML formatting
Can include placeholders for dynamic content
Maintains consistent branding and messaging
Email Composition
The invitation form includes:
Mailing List: Free text field to allow users to enter in a comma separated list of all passengers that need to receive the invitation
All users entered in this list will receive a BCC copy of the email
Subject: Pre-filled with the default subject template
Message Body: Rich text editor (CKEditor) with default invitation text
Placeholders: Available for personalization (e.g., guest name, reservation details)
