Reservations Options Overview

Reservation options encompass a range of menu choices designed to assist passengers in taking various actions as internal users, such as those listed below. This article illustrates and elaborates on the functionality of each menu option.

Reload Reservations

The "Reload Reservation" function restores the reservation to its original state while you are in the midst of making changes.

Edit Header

Directs user to the Reservation header to modify details such as changing the point of contact, adjusting the deposit due, revising deposit dates, and other pertinent information. Please note that users may require special permission to access this process.

Passengers

Directs user to the passenger page to make adjustments to passenger details, update passenger names, remove or add passengers, specify preferences, and update travel insurance options.

Send Reset Password Link

This process entails sending a "Reset Password Email" to the contact listed in the reservation. The reset password link included in the email will expire within a few hours of being sent.

Queues

The Queues process enables users to designate a reservation to a specific queue, facilitating automated communications to the contact listed in the reservation. Conversely, the Ignore Queue feature prevents the reservation from receiving further communication, either from all queues or a designated queue.

Add Pre/Post Nights

Adding Pre/Post nights enables users to incorporate additional room nights into the package. To activate this process, updating the product header is necessary.

Update Bedding

Updates the room designation description from Twin to Double room or vice versa. This change does not affect inventory holdings; it is merely a simple description update. However, if there are specific allotments for Double vs Twin rooms and you desire the booking to align with the correct allocation, it's advisable to consider rebooking the reservation accordingly.

Optionals

This feature enables users to effortlessly add or remove optional services and specify the number of passengers booking each service. The process then proceeds to select the guest name(s) to associate with the chosen service(s).

Change Package

This process enables users to modify the departure date of the existing package or choose an entirely different package to add to the existing cart. The original package in the reservation will be replaced with the new selection. Additional cleanup will be necessary following the process to remove any unwanted add-on services.

Travel Insurance

Directs users to the Travel Insurance selection option in the Passengers page to update Insurance options.

Cancel Reservation

This action cancels both the reservation and the associated services. After the process is finalized, users can edit the "Cancelled Reservation" line item to input the appropriate description and apply any necessary cancellation penalties. Process will update the Reservation status will change from Active to Cancelled.

Documents

Takes users to review documents and send reservation materials to guests, including invoices, travel documents, and any schedule changes.
