Air Flight Offset

Softrips offers the ability to build Air Contracts in situations where the Flight will depart 1 day or more before the Land portion of the Package/Group begins.

For example, a Group’s Departure Date and Land services (Hotel, Transfers, Sightseeing Tours etc) are built for June 18th, but the flight departs June 17th and arrives the next day.

Apply Air Offset

To tell the Product to apply an Air Offset open the “Edit Header” menu of the Package or Group

Package

In a Package Header add a Y into the “Apply the Air Offset to the Departure Date” field

Group

In a Group Header add a Y into the “Apply the Air Offset to the Departure Date” field. This field can be found under the “Advanced Fields” tab

Once the Apply Air Offset field has been set select “Save” in the Edit Header.

Main Air Segment

These next steps will be the same for both Package or Group. Go into the Product build and open the Air Info tab and open the Main Air Segment menu. There will be a field for the “Offset” . In this field enter the number of days the air will be offset from the Departure

If the Departure on the Product is set to June 18th and the Flight is on June 17th, set the value to 1 and select “Save”

Air Contract

To build the Air Contract open the Air Contract menu. The system should now show the Departure Date followed by the Flight Date in parentheses under the “Available Departure Dates”

If the Flight Date in parentheses is not correct or does not appear go back to double check the Apply Offset was set to Y in the Product Header and the Offset Value was set in the Main Air Segment before continuing

Select the checkbox and the arrow to move the Departure Date and Flight Date into the “Assigned Departure Dates” field

Select “Contract Detail” to continue building the Air Contract. Because this Contract is leaving 1 day before the Departure Date on the Product the Begin Date will be set to June 17th - the day the flight departs

When entering in the Air Leg Itinerary the OnDay will be set to 1. This OnDay will correlate to the Departing Flight - June 17th in this case. The drop down at the end of the leg will be set to “Next Day” to tell the system this flight arrives to its destination the following day.

The OnDay for the return flight will be the Duration of the Product + Offset Number. In this example the Product has a Duration of 10 and an Offset of 1, so the OnDay on the returning flight is 11. If the Flight returns home on the same day it departs the drop down at the end of the leg will be “Same Day”
